A conference photo sharing plan for attendees

A conference has many cameras and very few shared albums. A QR code at the right places can collect attendee perspectives from sessions, booths, and networking without asking everyone to join another service.

In practice

Example: a one-day conference

Create a wall named for the event and put its QR on registration signage, the agenda, and a slide between sessions. Invite attendees to share permitted photos from talks and networking. Display the wall on a lobby screen, then download the ZIP for the event recap team.

This is an illustrative setup, not a customer case study.

Set it up step by step

  1. 01

    Plan who should contribute

Decide whether the wall is for all attendees or a smaller team. Create the event, add a short guest note about suitable photos, and choose a per-guest limit.

  2. 02

    Distribute the QR

Download the QR from the dashboard. Add it to registration signs, printed agendas, or slides with a clear invitation to share event photos.

  3. 03

Check the wall during the event

Open the guest wall on a screen if you want a live display. The host can pause guest uploads from the dashboard if submissions need to stop.

  4. 04

    Export for the recap

After the event, review the collection and download a ZIP for your internal recap workflow before the wall expires.

Copy for a registration sign

Print this beside your QR code or adapt it to your invitation.

“Share your view of today. Scan the QR code to add conference photos to our live wall. Please upload only photos you are comfortable sharing with other attendees.”

What guests see

Attendees scan the code, open the wall in a phone browser, and choose photos or take one. They do not need a SnapWall account. The host sees the same shared collection and can download it later.

Privacy and access choices

  • Only ask for photos your event is allowed to collect and display; give attendees a clear instruction beside the QR.
  • Use a password for a private offsite or internal event, and share it through attendee channels.
  • Set an expiry that covers the time your recap team needs to retrieve photos.
  • Avoid placing a private wall on a publicly accessible screen or in a public event program.

After the event

Download the ZIP from the host dashboard for selection and recap materials. SnapWall gathers the files; your team should still review permissions and suitability before publishing attendee photos elsewhere.
